"Copy signature" pastes formatted, ready to drop into your email client's signature field. "Copy HTML source" gives you the raw markup if you need to edit it or paste it somewhere that only accepts code.
What makes a signature actually work
A good email signature answers three questions fast: who is this, what do they do, and how do I reach them. Past that, every extra line is something a reader has to skip past to get to your message. The three layouts here (classic, minimal, and divider) all lead with your name and role, then one row of contact links, because that order matches how people actually scan a signature block, top to bottom, once.
Signatures built as an HTML table instead of nested divs render consistently across Outlook's older rendering engine, Gmail, and Apple Mail, which each interpret CSS differently. That is why the output here uses inline styles on table cells rather than a stylesheet, it is the one format that survives being pasted into all three.
Adding it to your email client
Gmail
Settings (the gear icon), See all settings, General tab, scroll to Signature, create a new signature or edit an existing one, paste, then save changes at the bottom of the page.
Outlook (web and desktop)
Settings, Mail, Compose and reply, scroll to Signatures, paste into the editor. On desktop Outlook: File, Options, Mail, Signatures, New, paste, OK.
Apple Mail
Mail, Settings (or Preferences), Signatures tab, select or create a signature, paste into the right-hand box. Apple Mail sometimes strips inline styles on paste, if that happens use "Copy HTML source" and paste it into a plain text editor first, then copy that and paste into Mail.
If you are sending cold outreach, not just everyday email
A sales or outreach signature has a different job than a regular work signature: it needs to look human and specific, not like a template a hundred other senders are using. Keep it to name, title, company, and one contact method. Skip quote blocks, social icons, and banner images, they add visual weight that can read as salesy and, on image-heavy signatures, occasionally trip spam filters that score image-to-text ratio. If you are running outreach at volume and want warmup, inbox placement checks, and reply tracking on top of a clean setup like this, that is what EmailQo is built for.
Signature generator questions
Still unsure? Email hello@emailqo.com and a real person replies.
Is this actually free?
Yes. The signature builds entirely in your browser. There is no signup, no email capture gate before you can copy it, and nothing you type is sent to a server or stored anywhere.
Will this work in Gmail?
Yes. Click "Copy signature," then in Gmail go to Settings, General, scroll to Signature, paste into the signature box, and save changes. The formatting carries over because the copy includes both the rendered HTML and a plain-text fallback.
Will it work in Outlook and Apple Mail?
Yes, the same copy-and-paste approach works in Outlook (desktop and web) under Settings, Mail, Compose and reply, Signatures, and in Apple Mail under Mail, Settings, Signatures. If a paste loses formatting in a specific client, use "Copy HTML source" and paste that into the client's HTML or code view instead.
Does a cold email signature hurt deliverability?
A heavy signature with several large images, tracking pixels, or dense inline CSS can add weight to a message and occasionally trips spam filters that score image-to-text ratio. The text-only layouts here avoid that entirely. If you add a logo, the generator caps it at 300KB and embeds it directly as a data URI rather than a hosted image, which keeps the email lighter than a typical remote-hosted logo and avoids an extra image request on open.
Can I add a logo or headshot image?
Yes. Upload a PNG, JPG, WebP, or SVG under 300KB and it gets embedded directly into the signature next to your details. The image never leaves your browser, it is encoded straight into the copied HTML, not uploaded to any server, so there is nothing to host or link to later.
Your emails deserve the inbox
A clean signature is one small piece of deliverability. Warmup, inbox checks, and reply tracking handle the rest, built in from the first send.
